Privacy Policy

Imagine Canada is committed to protecting the privacy of the personal information of its employees, volunteers, members, customers, donors and other stakeholders. We value the trust of those we deal with, and of the public, and recognize that maintaining this trust requires that we be transparent and accountable in how we treat the information that you choose to share with us.

During the course of our various projects and activities, Imagine Canada frequently gathers and uses personal information. Anyone from whom we collect such information should expect that it will be carefully protected and that any use of, or other dealing with, this information is subject to consent. Imagine Canada’s privacy practices are designed to achieve this.

Imagine Canada is authorized to modify this Privacy Policy at any time. This may occur without prior notice but will always be posted on the website.

Defining personal information

Personal information is any information that can be used to distinguish, identify or contact a specific individual. This information can include an individual’s opinions or beliefs, as well as facts about, or related to, the individual. Exceptions: business contact information and certain publicly available information, such as names, addresses and telephone numbers as published in telephone directories, are not considered personal information.

Information in the public domain is not subject to privacy legislation and as such is not included in this policy.

Where Imagine Canada customers and clients use their home contact information as business contact information, Imagine Canada considers that the contact information provided is business contact information, and is not therefore subject to protection as personal information.

We consider donor and volunteer information always to be personal information, and do not disclose information about donors or volunteers without consent.

Imagine Canada observes the following practices when collecting, maintaining and using personal information:

Consent

An individual’s consent is required regarding the collection and proposed use of personal information when information is collected. Consent can be either express or implied and can be provided directly by the individual or by an authorized representative. Express consent can be given orally, electronically or in writing. Implied consent is consent that can reasonably be inferred from an individual’s action or inaction. An individual’s consent is required before confidential information is released to outside parties.

Cookies

Cookies are small text files that are placed on your computer by websites that you visit. Websites use cookies to help users navigate efficiently and perform certain functions. Cookies that are required for the website to operate properly are allowed to be set without your permission. All other cookies need to be approved before they can be set in the browser. Specifically, cookies are used the following ways:

  • Strictly necessary cookies. Strictly necessary cookies allow core website functionality such as user login and account management. The website cannot be used properly without strictly necessary cookies.
  • Performance cookies. Performance cookies are used to see how visitors use the website, eg. analytics cookies. Those cookies cannot be used to directly identify a certain visitor.
  • Targeting cookies. Targeting cookies are used to identify visitors between different websites, eg. content partners, banner networks. Those cookies may be used by companies to build a profile of visitor interests or show relevant ads on other websites.
  • Functionality cookies. Functionality cookies are used to remember visitor information on the website, eg. language, timezone, enhanced content.

Cookies are used anonymously and without storing Personally Identifiable Information (PII). Visitors that wish to opt-out of cookies should review the help documentation for their browser software to decline or selectively decline cookies. Note that declining cookies may adversely impact site performance.

Google Analytics

This website uses Google Analytics to track performance. Google Analytics uses persistent cookies to track visitor sessions, visitors across multiple sessions, and referral sources to our sites. We also track the performance of promotional links to our site using Google Analytics. In compliance with the Google Analytics Terms of Service, at no time is personally identifiable information (PII) passed to Google Analytics. Note that Google Analytics stores its data within the United States of America and is subject to US laws.  We use this data to understand site performance to serve you better.  Those wishing to opt out of Google Analytics data collection should use the Google Analytics Opt-out Browser Add-on.

Limited Collection

The collection of personal information is limited to that which is relevant and necessary to our programs and fundraising efforts. Imagine Canada shall not make unwarranted or intrusive inquiries into a donor or prospect’s gift history or personal life. Imagine Canada attributes all data that it collects.

Limited Use, Disclosure and Retention

Personal information shall not be used or disclosed for purposes other than those for which it was collected, except with the consent of the individual or as required by law. Personal information shall be retained only as long as necessary for the fulfillment of those purposes.

Accuracy

Personal information shall be as complete, accurate and up-to-date as possible. Donors are encouraged to review, correct and update personal information.

Security Safeguards

Personal information gathered by Imagine Canada shall be kept in confidence. Imagine Canada personnel shall be authorized to access personal information based only on their need to deal with the information for the reason(s) for which it was obtained.

Appropriate physical and electronic measures shall be used to ensure personal information is secure. Access to donor and volunteer records shall be limited to those who require such information to fulfil their job responsibilities. Special protection shall be given to all records pertaining to anonymous donors. The confidentiality of donor and volunteer records shall continue after the relationship with the individual has ended.

Confidentiality

Donors who request that their name and/or the amount of the gift not be publicly released shall remain anonymous.

Openness, Transparency, and Accountability

HR Checkup and Data Collection

When you use the HR Checkup, Imagine Canada collects personal information to provide you with a customized HR “prescription” and track your progress. This information may include, but is not limited to, responses to diagnostic questions, demographic data, and organizational details that are relevant to your HR needs.

Purpose of Data Collection: The information you provide through the HR Checkup quiz is used to generate a personalized HR assessment and to offer recommendations, resources, and templates to improve your HR practices. You may also be asked to provide feedback to help improve the HR Checkup quiz. This data is kept confidential and will not be shared with third parties without your consent.

Use of Personal Data: The personal data you provide through the HR Checkup quiz will be used to:

  • Generate and deliver a customized HR “prescription” based on your responses.
  • Track your progress over time if you choose to return and retake the HR Checkup.
  • Provide relevant resources, templates, and guidance tailored to your needs.
  • Improve and update the HR Checkup quiz for future users.
  • We may occasionally use non-identifiable, disaggregated data to inform our research on the nonprofit sector.

Data Retention: Information provided through the HR Checkup quiz will be retained only as long as necessary to fulfill the purposes outlined above. You may request to have your data deleted at any time by contacting our Privacy Officer.

Data Sharing: Imagine Canada will not share any personal data from your use of the HR Checkup quiz with external parties unless you have explicitly provided consent, or as required by law.

Opt-Out: You can opt out of the HR Checkup quiz at any time. If you choose to do so, your data will be deleted from our records. However, please note that opting out may impact the personalized support and resources you receive.

Cookies and Tracking: As part of your experience using the HR Checkup quiz, cookies may be employed to improve your use of the quiz, such as tracking session progress. These cookies will not collect any personally identifiable information (PII) beyond what is required for the functionality of the quiz. You may adjust your browser settings to manage cookies.

Third-Party Tools: The HR Checkup quiz may use third-party services (such as analytics or hosting platforms) to enhance your experience. These services are subject to their own privacy policies, and Imagine Canada ensures that these third-party providers comply with privacy standards aligned with this policy.

Security of HR Checkup Data

We take the security of personal information collected through the HR Checkup seriously. Appropriate physical, electronic, and procedural safeguards are in place to protect your data. Access to your personal information will be restricted to those employees who need it to provide support or perform necessary administrative functions related to the quiz.
